Who we are
RotaTally is provided by Anvicit. In this policy, “RotaTally”, “we”, and “us” refer to the RotaTally app, website, and related support services.
Information stored on your device
The app may store job names, employer names, hourly rates, shift dates and times, breaks, tips, bonuses, notes, pay periods, and amounts you enter from payslips. Core app records are stored locally on your device.
No account required
You can use the core app without creating an account. Local shift and earnings records are not uploaded to our server unless you deliberately use an online feature such as the rota scanner.
Optional rota scanner
If you choose Scan rota, the selected image, workplace name, name shown on the rota, and reference date are sent through our server to OpenAI so proposed shifts can be extracted. RotaTally does not retain the image on its server. We request that OpenAI does not store response application state. OpenAI states that API data is not used to train its models unless the account explicitly opts in, but API inputs and outputs may be retained in abuse-monitoring logs for up to 30 days. Information you send us
If you contact support, we receive the information in your message, your email address, and any attachments you choose to provide. Do not send full payslips or unnecessary sensitive information.
Cloud features
If optional account, backup, or sync features are introduced, we will explain what is uploaded before you enable them and update this policy. Cloud data will be used only to provide the feature, secure the service, and respond to your requests.
Analytics and advertising
RotaTally does not sell personal data and does not use advertising profiling. We do not send employer names, earnings amounts, tips, or shift notes to general analytics platforms.
Website logs
Our hosting infrastructure may process basic technical information such as IP address, requested page, browser user agent, and timestamp for security and reliability. We do not use cookies on this static website.
Retention and deletion
Local records remain until you delete them in the app or remove the app and its data from your device. Rota scanner images are held in memory only for the processing request and are not saved by our backend. Our processor may retain abuse-monitoring data as described above. Support correspondence is retained only as long as reasonably needed to resolve the request and meet legitimate legal or security obligations.
Your choices and rights
You may request access to, correction of, or deletion of personal information we hold about you. Because local-only app records never reach us, we cannot retrieve those records from your device.
Security
We use HTTPS and reasonable technical and organisational measures to protect information processed by our services. No method of electronic storage or transmission is completely secure.
Changes
We may update this policy as RotaTally evolves. Material changes will be reflected on this page with a new effective date.
